Terms and Conditions of Participation

1. General Information

  1. The organizer of conferences (hereinafter referred to as the “Host”) is: Faculty of Economic Sciences, University of Warsaw ul. Długa 44/50 00-241 Warsaw, Poland which is a unit of: University of Warsaw ul. Krakowskie Przedmieście 26/28 00-927 Warsaw, Poland NIP: 525-001-12-66 REGON: 000001258
  2. The Faculty of Economic Sciences at the University of Warsaw (hereinafter referred to as “WNE UW”) organizes or co-organizes scientific conferences, workshops, and related academic events (hereinafter referred to as the “Conference”).
  3. Participation in a Conference requires:
    • registration via the relevant conference website or online registration system, and
    • payment of the applicable conference fee.
  4. The conference fee entitles the Participant to the services and benefits specified on the relevant conference website (such as participation in sessions, catering, and social events, if applicable).
  5. Participants are responsible for arranging and covering the costs of their own accommodation, travel, insurance, and any other personal expenses, unless explicitly stated otherwise on the conference website.

2. Payment Methods

  1. Payments for conference registration are made online via available electronic payment systems, including PayU and PayPal, as indicated on the conference website or registration platform.
  2. Online payments are processed by external payment service providers. WNE UW and the University of Warsaw do not collect or store Participants’ credit card details, payment system credentials, or security codes.
  3. Payments are transferred directly to the University of Warsaw’s bank account.
  4. Information on conference fees, payment deadlines, and available registration options is published on the relevant conference website.
  5. Invoices issued by the University of Warsaw will be sent electronically to the email address provided by the Participant during the registration process.

3. Complaints, Resignation, and Refund Policy

  1. Right of Withdrawal and Resignation: A Participant has the right to withdraw from participation and receive a refund of the paid fee, provided that the resignation is submitted in writing (via email) no later than 30 days before the Conference start date.
  2. Resignation Procedure: Notice of resignation must be sent via email to the contact address provided on the relevant conference website. If the above conditions are met, the refund will be made to the bank account provided by the participant, at their own responsibility, within 30 business days. Participants have the right to submit complaints regarding the organization of the conference.
  3. Complaints should be sent electronically to the email address provided on the conference website or in writing to the Host’s registered office.
  4. The complaint should include the participant’s identifying information and a description of the issue.
  5. The Host will make every effort to ensure the proper organization of the conference and will review complaints within 14 days of receipt.
  6. The review of complaints is informational in nature and aims to improve the quality of future editions of the conference.
  7. Submitting a complaint does not automatically create an obligation to refund costs or provide compensation, and any feedback will be considered only to the extent that organizational improvements are feasible.
  8. No Refunds After Deadline: if the resignation is submitted less than 30 days before the Conference, conference fees are generally non-refundable, unless otherwise stated on the specific conference website.
  9. Cancellation of the Conference: If the Conference is cancelled by the Host due to external circumstances beyond its control (force majeure), including but not limited to pandemics, armed conflicts, natural disasters, or major transportation disruptions, the Participant is entitled to a full refund of the paid fee.
  10. No Rate Adjustments: Once registration is completed and paid, fees cannot be adjusted or modified (e.g., due to subsequent promotional offers).

4. Final Provisions

  1. Participation rights resulting from registration may not be transferred to a third party without the prior written consent of the Host.
  2. Conference registration is considered valid only after the Host has received and successfully processed both the completed registration form and the full payment.
  3. By submitting a registration form and/or abstract, the Participant confirms that they have read and accepted these Terms and Conditions.
  4. Submission of a registration form or abstract constitutes consent to the processing of personal data by the Host for the purpose of organizing the Conference, in accordance with GDPR. The data controller is the University of Warsaw.
  5. Participants have the right to access, correct, and update their personal data. Providing data is voluntary but necessary to participate in the Conference.
  6. The Host is not responsible for any damages or consequences resulting from incorrect or false information provided by Participants.
